  • Notarization Required in Many States: Unlike vital records (birth, death, marriage certificates), diplomas and transcripts are not issued by a government office. In most states, the Secretary of State can only apostille a document bearing a signature they have on file. Since school officials' signatures are typically not on file, the document must first be notarized by a commissioned notary public in that state, and the notary's signature is what gets apostilled.
  • Digital Diplomas and Electronic Transcripts: Many universities now issue diplomas and transcripts electronically or through digital platforms. These digital versions cannot be apostilled. You will need to request a physical diploma reprint or official paper transcript from your institution. Some institutions charge a fee and require several weeks for reprints.
  • Accreditation Letter May Be Required: Some destination countries require not just the apostilled diploma but also a separate letter confirming the institution's accreditation. This letter typically must be issued by the institution or a recognized accreditation body and then separately notarized and apostilled.
  • Institution Seal Alone May Not Suffice: Having your school's embossed seal on the diploma does not automatically mean the document can be apostilled. In states where notarization is required, the school seal is irrelevant to the apostille process - the notary's commission and signature are what the Secretary of State authenticates.
